Salary Range:                   $49,000 to $52,000 per year dependent upon education/experience

The Office of Employee Engagement, Equity & Organizational Development (EEEOD) focuses on providing a supportive and professionally enriching experience to Shoreline Community College employees. The office supports the College’s vision and mission by providing opportunities for professional learning and development, training on topics of diversity, equity, and inclusion, skill building and support, as well as celebration and appreciation. The Executive Assistant will assist the EEEOD Executive Director, and help successfully accomplish the office’s goals and objectives. 

This position provides administrative support for employee engagement events such as College updates and professional learning, professional development opportunities, employee celebrations and recognitions, new employee orientations, fall convocation, the annual day of learning, and Inclusive Excellence Steering Committee.
 
Essential job duties include the following:
·        Coordinate daily calendar, plan appointments and events, make travel arrangements for the Executive Director
·        Distribute meeting agendas/notices, take meeting notes/develop minutes, maintain files, and schedule meeting rooms, equipment, catering services, and other resources as needed
·        Perform outreach (such as phone calls and emails) on behalf of the Executive Director
·        Prepares reports by collecting and analyzing information
·        Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
·        Maintain office supplies by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
·        Develop and maintain EEEOD web page in a timely manner
·        Monitor, reconcile, and initiate corrections for assigned budgets
·        Coordinate projects/ongoing functions with a variety of partners under competing deadlines
·        Exercise initiative in problem solving, organization, and multitasking
·        Contribute to a climate supportive of the College vision, mission, and strategic direction
·        Collaborate with the offices of other senior administrators; work as a team player, appropriately exhibiting a positive attitude and pro-active approach to problem-solving
·        Perform other duties as assigned (of a similar nature and level)

REQUIRED EDUCATION & EXPERIENCE:
  • Bachelor's degree from an accredited institution OR equivalent education/experience
  • Three (3) years of progressive administrative support experience in a fast-paced organization, including experience providing support at the executive level
  • Experience in event planning/coordination and live event support
  • Communicating and presenting to diverse audiences
 
LICENSES:
  • Valid unrestricted Washington State driver's license
  • Clean driving record (maximum of one (1) moving violation in the last 12 months, no suspension/revocation of license for reckless driving, hit and run, leaving an accident scene, failure to appear, DUI, or other vehicle-related misdemeanor in the last 5 years)
 
KNOWLEDGE OF:
  • Microsoft Office applications, including Excel, Outlook, and Word applications
  • Best practices in event planning/coordination, management and calendaring
  • Website maintenance, including experience with webpage applications
  • Best practices in diversity, equity and inclusion in a higher education environment

  • Working both independently and as part of a diverse team under minimal supervision
  • Establishing and maintaining effective working relationships at all organizational levels

  • Staying on track in busy open office while maintaining a professional and helpful attitude
