Festival Manager, Theatre Box Offices

Considerations: This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned. A high level of mobility is required as well as an ability to drive safely in winter road conditions.
Position General Summary: Drives the pre Festival planning and implementation to successfully operate 16 theatre box offices spread out across 30-60 miles from each other (10 in Park City, 5 Salt Lake City, and 1 in Provo Canyon at Sundance Resort). Position will have three direct reports to assist in facilitating theatre box office operations, including directing volunteers, waitlist ticket sales, scanning, and balloting.
Essential Job Functions and Duties:
  • Maintains master timelines related to theatre box offices (TBO) and balloting, includes tracking changes to timeline and communicating updates to stakeholders.
  • Updates and develops TBO trainings and quick reference manuals as directed.  
  • Schedules and conducts trainings for staff and volunteers to ensure comprehension of duties and expectations.
  • Partners with Finance to develop and implement effective accounting practices and procedures, and to schedule balloting pickup and deliveries.  
  • Schedules and manages theatre box office and balloting volunteers collaborating with the volunteer department to ensure volunteer coverage for successful operations.  
  • Designs and orders ballots, etc. collaborating with Marketing, as assigned by Senior Manager.
  • Manages staff and volunteers, includes selecting and training highly effective staff and volunteers, providing direction, feedback, and support to ensure employees understand responsibilities.
  • Orders and schedules delivery of TBO equipment (laptops, scanners, etc.) and works with Tech Services to schedule installation of internet connections at each theatre by deadline.
  • Manages onsite inventory and distribution of waitlist tickets and volunteer and sun vouchers for each theatre.
  • Ensures required TBO materials and supplies are received, organized, and delivered by deadline.  
  • Creates login information, provides accurate access, and performs routine user audits on ticketing system for assigned volunteers.
  • Ensures timely and continuous on-site and remote support to all theatre box offices.  
  • Manages  balloting procedures for all theatres, including creating schedules, preparing materials, overseeing volunteers, etc.
  • Writes a comprehensive written wrap report as directed.
  • Other duties as needed.
Position Requirements:
  • Legal authorization to work in the United States.
  • Valid driver's license and successful completion of DMV background check.
  • 3 years operational planning and implementation experience or related.
  • Leadership skills with a background that includes managing people.   
  • Outstanding communication skills, verbal and written.
  • Strong interpersonal and professional skills required to work effectively with a variety of people.
  • Excellent organizational skills including self management of work schedule.
  • Must be able to maintain confidential information.
  • Able to mitigate conflict and facilitate positive customer relations.
  • Ability to work nights and weekends around events and key deadlines.
  • Ability to lift and carry items up to 50 lbs.
Preferred Education, Experience and Skills:
  • Working knowledge of databases along with proficiency in Google Products.
  • Knowledge of Park City and Salt Lake City.
