Administrative Assistant

Rate of pay: $14 - $16 per hour (DOE)

Job Summary:   Support the needs of the Vice President of Vision Rehabilitation Services (VRS) and department programs through clerical tasks, transportation, and sighted assistance. Responsible for maintaining the integrity of client files and privacy of information. Requires strong organizational skills, good time management, attention to detail, and multi-tasking abilities. Must demonstrate utmost integrity, discretion, and interpersonal skills. Primary responsibilities require strong computer skills for managing databases, word processing, and spreadsheets. 

Job Specifications & Requirements:

1.      Education: High School diploma or GED required. Some college preferred.
2.      Special Knowledge or Skills: Strong computer skills required for managing databases, word processing, spreadsheets, and email. Proficiency with complete Microsoft suite required. Optimal time management and organizational skills required with good problem solving abilities. Superior verbal and written communication skills required.   
3.      Experience: At least 3 years’ experience as an administrative assistant required. At least 2-years’ experience working in customer service required. Experience in dealing with high stress situations effectively required. Experience assisting low vision or blind individuals preferred.
4.      Supervisory Responsibilities: None
5.      Physical: Functional vision required to manage paperwork and assist blind staff. Must be energetic and able to function in a dynamic office setting. Must be able to tolerate driving in all conditions for extended periods to support travel between New Orleans and Baton Rouge. Must be able to tolerate sitting at a computer for extended periods. Able to travel throughout the facility to safely and effectively manage all work responsibilities, breaks, and emergency evacuations, with or without a reasonable accommodation. Able to manage all self-care needs and activities of daily living as required to support successful employment, with or without a reasonable accommodation.
6.      Personality Traits: Maintain professional appearance and attitude appropriate to the position. Ability to maintain confidentiality. Ability to respond to directions and suggestions. Ability to assume responsibility for project completion. Ability to work independently and with a team. Ability to maintain focus on work in a dynamic environment. Ability to solve problems effectively and demonstrate good attention to detail.
7.       Working Conditions: Primarily in an office setting with frequent travel. Valid driver’s license and clear driving record required, along with valid insurance. Must have reliable transportation for frequent travel.
8.      Work Schedule: Monday through Friday, 40 hours per week. Times may fluctuate.
9.      Background Check and Drug Testing required: Employment is contingent upon satisfactory results.
